Facilities Assistant – Part Time, Fixed Term Contract

Role Summary

To assist Facilities Supervisor in managing the Facilities and Reception functions for Jersey. The role will be part-time, 25 hours per week, and is on a fixed term basis.

Key Responsibilities

Archiving Project

  • Manage archiving of files.

Reception

  • To assist and cover during absence the Reception desk, responding to any calls or visitors in a professional and courteous manner;
  • Opening and distribution of daily post;
  • Distribution of and sending of faxes;
  • Assist with incoming and outgoing couriers;
  • Provide support for any conference calls as required;
  • Assist with out of office messages for staff;
  • Record time spent on different tasks accurately on timesheet;
  • Provide refreshments for any Director or external visitor meetings and ensuring the meeting rooms and office are presentable and clean;
  • Assist with ordering of stationary & refreshments.

Facilities Management

  • Assist with and carry out (when covering absence) new joiner inductions covers, H&S, first aid, fire evacuation, social club introduction, office information etc;
  • Complete ad-hoc projects as assigned to by Facilities Supervisor.
