Role Summary
To assist Facilities Supervisor in managing the Facilities and Reception functions for Jersey. The role will be part-time, 25 hours per week, and is on a fixed term basis.
Key Responsibilities
Archiving Project
- Manage archiving of files.
Reception
- To assist and cover during absence the Reception desk, responding to any calls or visitors in a professional and courteous manner;
- Opening and distribution of daily post;
- Distribution of and sending of faxes;
- Assist with incoming and outgoing couriers;
- Provide support for any conference calls as required;
- Assist with out of office messages for staff;
- Record time spent on different tasks accurately on timesheet;
- Provide refreshments for any Director or external visitor meetings and ensuring the meeting rooms and office are presentable and clean;
- Assist with ordering of stationary & refreshments.
Facilities Management
- Assist with and carry out (when covering absence) new joiner inductions covers, H&S, first aid, fire evacuation, social club introduction, office information etc;
- Complete ad-hoc projects as assigned to by Facilities Supervisor.
